Proof-of-Concept Proposal

Meeting & Case-Notes
AI Assistant

Your team records a call or meeting by voice. Minutes later clean, structured notes come back, the agenda covered and the action items pulled out, ready to review and export.

The idea

From a recording to notes you can actually use

Based on our call: a focused, working proof of concept that proves the core loop end to end, record, transcribe, structure, review, export, with real users, on a budget that keeps this first phase lean. The bigger vision, a multi-provider platform you can resell, is deliberately held for a later phase so this version ships fast and earns its keep first.

How it works

The core loop

Five steps, from the moment a meeting is recorded to a finished document in your records.

1  Record
A team member records a call, meeting, or supervision session, on their phone or straight from the browser on the web platform.
2  Process
The recording is handed to the AI, which transcribes the audio to text automatically. This runs in the background, so a short wait for a clean transcript is expected and fine.
3  Structure
The transcript is turned into a usable written output: meeting minutes, the agenda covered, and a clear list of action items, alongside the case and supervision-note formats you work with.
4  Review with the assistantthe difference
Instead of handing back a raw transcript, the assistant works like a human note-taker: it flags anything it was not sure it heard correctly and asks you to confirm or correct it, then updates the notes. You fix a name, answer a quick question, and the finished notes come out accurate, the same back-and-forth you would have with a good assistant.
5  Export
Export the finished notes as PDF or Word for your records.
What you get

One assistant, mobile and web

Both run off the same AI, so a recording captured on the phone can be reviewed and finalised in the browser, wherever suits.

Mobile app

Record on the go, in the field or in a meeting, so nothing has to wait until someone is back at a desk.

Web platform

Open it in any browser to record, review, and finalise notes at a desk, no install needed, with the assistant walking through anything it needs confirmed.

How the AI is hosted

Cloud now, on-premise when you need it

We run open-source models we host ourselves rather than routing your audio through a third-party consumer service, so there are no per-use AI fees and the data stays inside an environment you control.

Recommended for this build

Cloud hosted

Recordings upload automatically, processing happens on our servers, and the notes come straight back into the app. Data kept in a UK region. The simplest, fastest option for your team.

Available later

On your own machines

For settings where all data must stay fully on-premise, the AI can run locally so nothing leaves your machines. A more involved build we would scope as a later phase, once the core concept is proven.

Privacy & compliance

Honest about scope

Care documentation is personal and, in places, special-category health data. We build with privacy-by-design foundations: encryption in transit and at rest, access controls, and data kept in a UK region. We want to be clear, though: a proof of concept built on these foundations is not the same as formal certification. Full alignment with UK GDPR and Data Protection Act obligations is a dedicated workstream we would scope with you as the product matures, not something we would claim as done in a first build. We would rather set that expectation clearly now than over-promise it.

~6 weeks of active development. Price is exclusive of platform fees, if you prefer to proceed through Fiverr, Fiverr's 25% service fee is added on top. Any new features beyond the agreed scope are quoted separately before work begins.

Phase 2 (future, scoped separately): fully on-premise / local AI, integrations with your existing systems, advanced AI (summaries, risk flags, speaker separation), the multi-provider platform, custom templates, and formal compliance work.

Next step

How we get started

Simple and low-commitment, the same way we run every build.

Review and pick a directionHave a look through this proposal and let us know if it fits. We are happy to adjust the scope, and if it helps we can start with a single user or a small pilot team before rolling wider.
A short formal agreementOnce you are happy with the direction, we share a short agreement confirming the scope, milestones, and terms, so everyone is aligned before anything begins.
We begin the buildWith the agreement in place, development starts and we keep you updated through each milestone to a working proof of concept.
